Basic Configuration of NAPS2 (PDF Scanning Software)

Once you have installed "NAPS2" (Not Another PDF Scanner 2), you will need to configure the software to scan with the right settings on the device you want to scan with. Most commonly, you will need an A4 scan on a multi-function printer, sometimes called an MFD.

 

If you have not already installed the software, you can download a copy from: NAPS2 - Scan documents to PDF and more

 

Step 1 - Open the NAPS2 software.

 

Step 2 - Click on 'Profiles' on the top bar of the NAPS2 software window, this will open a new window.

Step 3 - Here you will see any existing profiles that you have set up, if you have not got any profiles set up you will need to add a new one. To do this, click on the '+ New' button.

Step 4 - Set your profile settings up for your specific scan job. You may chose to have one "main" profile, or several profiles for different things such as document scans, photo scans, etc. In the example below, we have shown some sample settings for a standard A4 document scan.

Note on WIA vs TWAIN: These are different protocols that certain scanners support, you may have to click on 'Choose device' for each protocol to see which discovers your scanner. When a device supports both protocols, choose TWAIN.

 

Step 5 - Once you have added your profile, you will be taken back to the window showing all of your scan profiles. Click on 'Done' to close this.

Step 6 - If you have only one scan profile, you can start scanning by clicking on the blue 'Scan' button. This will begin your first scan job. If you have multiple scan profiles set up, click on the dropdown arrow next to 'Scan' and select the profile that you want to scan with.

Step 7 - If you need to scan multiple pages, click on 'Scan' for each page.

 

Step 8 - Once you have scanned all of your pages, make sure that you save your documents from NAPS2. You can choose from a number of options including 'Save PDF', 'Save Images', or 'Email PDF'. Remember that when you save your document it will include all of the scans show in the preview window.

Step 9 - When you have saved that document, if you are finished you can close the NAPS2 software. If you need to scan another document, first 'Clear' your NAPS2 using the clear button. If you do not do this, the pages from your first set of scans will be included in the second document. It will simply append to the end of your existing scans.
